No-Show and Cancellation Policy

At Third Space Therapy, we are committed to providing the highest quality care to our clients. To ensure that all clients have access to the services they need, we have established the following no-show and cancellation policy.

Policy Statement

Our goal is to provide timely and effective mental health therapy services. To achieve this, it is essential that appointments are kept as scheduled. When a client misses an appointment without adequate notice, it prevents other clients from receiving care during that time slot.

Definitions

  1. No-Show: A no-show is defined as failing to log in for a scheduled telehealth therapy session within 10 minutes of the start time without prior notification.
  2. Late Cancellation: A late cancellation is defined as canceling an appointment less than 48 hours before the scheduled session.

Fee Structure

  1. No-Show or Late Cancellation Fee: A fee of $100 will be charged for any no-show or late cancellation.
  2. Billing: The fee will be automatically billed to the credit card on file.

Insurance Disclaimer

Please note that insurance companies generally do not reimburse for missed appointments. Clients will be personally responsible for the $100 fee.

Exceptions and Flexibility

We understand that emergencies and unavoidable circumstances can arise. Clients may request a waiver of the fee in such situations by contacting our office and providing an explanation.

Consistency

This policy will be applied consistently to all clients to ensure fairness and maintain the integrity of our scheduling system.

Support and Resources

Clients can easily reschedule appointments by contacting our office or using our online scheduling system.

How 48-Hour Notice Works

A fee of $100 will be charged when you miss or cancel an appointment without giving 48 hours’ advanced notice. For example, if an appointment is scheduled for 3:00 pm on a Wednesday, notice must be given by 3:00 pm on Monday at the latest. If your appointment is on a Monday, the cancellation needs to be provided by the prior Friday at your appointment time.

Wait Time/Grace Period

Please be on time for your appointments. If you are more than 10 minutes late, the session may be rescheduled, and you will be responsible for the $100 fee. Both therapist and client have a grace period of 10 minutes.

Medicaid Clients

Clients with Medicaid insurance who have three or more late cancellations or missed sessions within three months or two consecutive missed sessions will be referred to other providers.
